About the Persona + Fountain Integration

Fountain is a hiring and workforce management platform trusted by leading companies to recruit and manage frontline workers at scale. With thousands of candidates flowing through Fountain each week, ensuring trust and compliance in the hiring pipeline is essential.

Persona’s integration within Fountain allows you to:

  • Trigger Persona identity verification inquiries directly from Fountain
  • Configure verification by role, location, or risk level
  • Automatically advance candidates based on Persona verification results

How the Integration Works

  1. When a candidate reaches the Persona identity verification stage in Fountain, Fountain triggers a Persona Inquiry.
  2. Persona pre-fills the inquiry with candidate data from Fountain (applicant_id, name_first, name_last, email_address).
  3. The candidate completes the Persona inquiry inside Fountain.
  4. Persona sends a status update back to Fountain.
  5. Fountain automatically advances the candidate based on rules you configure.

Set Up Instructions

1. Obtain a Persona Account

You’ll need an active Persona account to enable this integration. Contact us to get started.

2. Enable the Integration in Fountain

Reach out to your Fountain CSM or email support@fountain.com to enable Persona on your account.

Once enabled:

  1. Log in to Fountain.
  2. Click your account profile (top-right) → Integrations → Screening.
  3. Find Persona in the list and click Connect.

3. Create Persona API Keys

To connect Fountain with Persona:

  1. In the Persona Dashboard, go to Developers → API.
  2. Click Create API Key.
  3. Give your key a descriptive Name (e.g., “Fountain Integration”).
  4. (Optional) Add a Note for context.
  5. Click Save. Copy the API key and store it securely—you won’t be able to view it again.

4. Add Persona Credentials in Fountain

  1. Return to Fountain → Integrations → Screening → Persona.
  2. Paste your Persona API key into the integration settings.
  3. Click Save Changes to activate the integration.

5. Create a Persona Inquiry Template

When creating an Inquiry Template for Fountain, you must include these 5 required fields:

  • account_option
  • applicant_id
  • email_address
  • name_first
  • name_last

Important: These fields are auto-filled from Fountain’s payload and must be present for the integration to work.

6. Add a Workflow Action to Your Inquiry Template

Fountain requires Persona to send back a status update so it knows when verification is complete.

In your Inquiry Template:

  1. Add a Workflow Action before the final Completed screen.
  2. Configure with:
    • Partner ID = your-partner-id-here-00000000000000
      Note: Reach out to your Persona account team to obtain the Partner ID
    • Applicant ID = trigger.fields.applicant_id
    • Partner Status = Completed (recommended)
    • Account Option = trigger.fields.account_id
    • Title = Any value you wish to pass back to Fountain (optional)

This ensures Fountain recognizes the inquiry as complete and automatically advances the candidate.

7. Configure the Workflow in Fountain

  1. Open the Workflow Editor for your Job.
  2. Click Add Stage → select Persona Partner Stage.
  3. From the dropdown, select the Persona Inquiry Template you created.
  4. Add Rules to automatically move applicants based on Persona Partner Status.

Example:

  • Move candidates to the Next Stage when Partner Status = Completed and Title = Pass.
  • Move candidates to Rejected if Title = Fail.

Note: String matching is case-sensitive and must match the Title exactly.

Status Labels and Descriptions

During the candidate’s lifecycle, Persona updates Fountain with the following statuses:

Persona Status Description
Created Inquiry created; verification not yet started
Pending Candidate submitted document or started verification
Completed Candidate reached the Completed screen
Failed Candidate reached the Failed screen
Approved Candidate passed identity verification
Declined Candidate failed identity verification

Applicant Experience

When a candidate reaches the Persona Partner Stage, they will be directed to the Persona verification flow embedded within the Fountain. Once the user completes the identity verification flow, their results will be returned to Fountain, enriching candidate profiles with verification data.
