Tag Manager is a centralized page in the Persona dashboard (Utilities > Tags) that allows you to view, organize, and maintain tags across your organization.
With Tag Manager, you can:
- View, sort, search and filter all tags within your Organization. You can also see a summary of tagged objects per tag (scoped by environment). Hovering over the tagged object count will allow you to navigate to lists of tagged objects.
- Manage state by activating and deactivating tags. All Organizations have a 1,000 active tag limit to help manage scale and performance. Deactivating tags makes them no longer available in tag drop-downs (however, previously tagged objects will remain tagged). Users will be prompted with a warning if they try and deactivate tags referenced in workflows.
- Add descriptions and color code tags. In the new create tag module in Tags Manager, you can add a color and description for your Tags (for existing tags, simply use the Edit option). Descriptions of tags appear on hover of tag name in Tag Manager.
Why use Tag Manager?
Tags are a powerful feature in Persona—they help classify inquiries, manage risk signals and implement business logic. But as organizations scale, managing hundreds of tags can become difficult.
Tag Manager helps solve this challenge by providing a way to:
- Give organization wide visibility in Tags, making it easier to manage duplicates and consolidate tags
- Help teams stay organized with consistent naming, color coding and descriptions
- Provide editing and deactivation tools to improve governance and help organizations stay under the active tag limit
Best Practices & Limitations
- Tag limits: Each organization can have up to 1,000 active tags. Deactivated tags do not count towards the tag limit.
- Deactivation: Deactivated tags remain on historical records but cannot be applied to new objects. Use deactivation to stay below your active tag limit and reduce duplication of tags.
- Consistency: Use descriptive names and colors to help team members quickly identify tags
- Scalability: When using tags, please keep scale in mind - tags are typically not meant to be used where a single tag is used for a single record. For instance, tags are not intended to be used as unique identifiers. Instead, we recommend populating the identifier as the reference Id of the object. If you wish to associate more data to a given object, Persona supports custom fields where you can store this data.
- Governance: Regularly audit and clean up unused or redundant tags to avoid clutter and confusion
