Overview
A Case export hands you the Cases view as a .csv file. It follows the filters you have applied on screen, so it is a snapshot of a view rather than a separate report you configure somewhere else.
Reach for it when Case data has to live somewhere Persona is not: a spreadsheet, a warehouse, or a form a regulator wants filled in. For aggregate review metrics such as resolution time and assignment distribution, use Cases Analytics instead. To pull Cases programmatically rather than by hand, see the developer docs.
Where to find it in the Dashboard
Open the Cases view, filter it down to the Cases you want, then click Export in the upper right corner.
Finished exports collect in the Exports view, which lists who created each export, when it completed, and which type it was. Two ways in:
- From the email: whoever creates an export gets an email when the file is ready, linking straight to the Exports view.
- From the Dashboard navbar: under the Platform heading, click Exports. If that link is missing, an Admin can add it by editing the role’s navbar configurations.
Who can export Cases
Exporting requires the Export Cases permission on your role. It is a permission of its own, separate from being able to open and work a Case, so someone who reviews Cases all day does not necessarily hold it.
Admins grant or remove it per role through roles and permissions.
What the file contains
A Case export is one Case file in .csv format, covering the Cases in your filtered view. It carries the IDs of the objects each Case is linked to, such as Account ID, Inquiry ID, and Report ID, plus the tags on those Cases. Those IDs are how you join a Case back to the Account or Inquiry it came from.
Exports from other views can contain several files, bundled together into a single tar.gz or ZIP archive. If you work on Windows, choose ZIP, which Windows opens natively.
Filter first, and treat the file as PII
- An unfiltered export is every Case from all time. The file can get very large. Filter the view with the controls at the top, then export.
- The download contains PII. Every export from the Persona Dashboard does. Store and share it the way your organization handles personal data.
