Overview

FlowSavvy is an AI-powered calendar app. It schedules tasks into a user’s calendar automatically, and it reschedules them when plans change.

Persona’s FlowSavvy integration lets a Workflow create and change tasks and events in FlowSavvy, mark tasks complete, and read the schedule that FlowSavvy builds. For example, a Workflow can create an auto-scheduled review task with a due date for every Inquiry that needs manual review, then mark the task complete when the review is resolved.

Integration features

The FlowSavvy integration supports these Workflow actions:

  • List items: List events and tasks, with optional filters.
  • Retrieve item: Retrieve one event or task.
  • Delete item: Permanently delete an event or task.
  • Create task: Create an auto-scheduled task or a fixed-time task.
  • Update task: Replace a task with new values.
  • Complete task: Mark a task complete.
  • Uncomplete task: Mark a completed task incomplete.
  • Create event: Create a calendar event.
  • Update event: Replace an event with new values.
  • Retrieve schedule: Get the schedule entries in a date range.
  • Recalculate: Run FlowSavvy’s auto-scheduling engine.

Prerequisites

Before you configure the integration, you need:

  • A FlowSavvy account on the Pro plan. The FlowSavvy API is not available on the free plan.
  • A FlowSavvy API key.

Set up FlowSavvy credentials

  1. Sign in to FlowSavvy at my.flowsavvy.app.
  2. Open the menu, select your name in the upper-left corner, and select Settings.
  3. Select Integrations, open the API section, and copy the API key. Keep the key secure.
  4. In the Persona Dashboard, go to Integrations > Marketplace and select FlowSavvy.
  5. Click Add Credential, enter a nickname for the credential, and paste the API key.
  6. Save the credential.

Use FlowSavvy in a Workflow

  1. Create a Workflow, or open the Workflow you want to update.
  2. Add an Action step and select Integrations.
  3. Select FlowSavvy, choose the saved credential, and select an action.
  4. Map Persona data to the action’s input fields.
  5. Save and publish the Workflow.

FlowSavvy actions

Task and event date-time fields use the ISO 8601 format without an offset, for example 2026-10-20T09:00:00.

List items

Returns events and tasks, ordered by ID. Use it to find the ID that the other actions require.

Optional fields include:

  • Modified After: Return only items that changed after this time, in ISO 8601 format in UTC. Use it to sync only the recent changes.
  • Item Type: Return only tasks or only events.
  • Completed: Return only completed or only incomplete items.
  • List ID: Return only the tasks in one list. Use inbox for the inbox.
  • Calendar ID: Return only the events in one calendar.
  • Query: Return only items whose Title, Notes, or Location contain this text.
  • Page Token and Limit: Limit accepts 1 to 200 and defaults to 50.

Retrieve item and Delete item

Retrieve item returns one event or task. Delete item deletes an event or task permanently.

Required fields: ID.

Optional fields: Occurrence Date, to select one occurrence of a repeating item. Delete item also accepts Scope, which is required for a repeating item: This Occurrence or This And Future Occurrences.

Create task

Creates a task. No field is required.

Optional fields include:

  • Title and Notes
  • Is Auto Scheduled: When true, FlowSavvy schedules the task. When false, the task is a fixed-time task.
  • Duration Minutes, Due Date Time, and Can Be Started At: For auto-scheduled tasks. A repeating auto-scheduled task needs a Due Date Time.
  • Start Date Time and End Date Time: For fixed-time tasks.
  • List ID: The task list. Tasks in the inbox (inbox) are not scheduled.
  • Priority: Low, normal, high, or ASAP. The default is normal.
  • Recurrence Rule: An RRULE string without the RRULE: prefix, for a repeating task.
  • Time Zone, Blocked By IDs, Blocks IDs, Scheduling Hours ID, Buffer Before Minutes, and Buffer After Minutes

A task must be shorter than 24 hours.

Update task

Replaces a task with the values you send. FlowSavvy does not accept partial updates, so use Retrieve item to get the task, change the values, and send all of them back.

Required fields: ID.

Optional fields include: the same fields as Create task, plus Occurrence Date and Scope for a repeating task. Scope is required for a repeating task.

Complete task and Uncomplete task

Complete task marks a task complete. Uncomplete task marks it incomplete. If the task is already in that state, the action still succeeds.

Required fields: ID.

Optional fields: Occurrence Date, for Complete task on a repeating task. When you complete one occurrence of a repeating task, FlowSavvy creates a new task for that occurrence.

Create event and Update event

Create event creates a calendar event. Update event replaces an event with the values you send, so send all of the event’s values, not only the changed ones.

Required fields: Start Date Time, End Date Time, plus ID for Update event.

Optional fields include: Title, All Day, Busy, Calendar ID, Location, Notes, Recurrence Rule, Time Zone, Buffer Before Minutes, Buffer After Minutes. Update event also accepts Occurrence Date and Scope for a repeating event.

End Date Time is exclusive. For an all-day event, set it to midnight at the start of the day after the last day of the event.

Retrieve schedule

Returns the schedule entries in a date range.

Optional fields: Start Date and End Date, in yyyy-MM-dd format and in the time zone of the user’s settings. The range can be up to 31 days.

Recalculate

Runs FlowSavvy’s auto-scheduling engine and reschedules auto-scheduled tasks.

Optional fields: Reschedule Past Tasks. When true, FlowSavvy also reschedules past and in-progress tasks. When false, those time blocks do not move.

FAQs

Do I need to run Recalculate after I create or change a task?

No. A change through the API starts a recalculation automatically after a short delay. Use Recalculate when you need the schedule to update immediately.
