Overview

Zoom In-Meeting Verification lets a meeting host verify the identity of an attendee during a live Zoom meeting. The host opens the Persona Verification app in a side panel in Zoom, starts a verification, and sends a link to the attendee. The attendee completes the verification on their own device. The result and the attendee’s selfie show in the panel, so the host can compare the selfie with the person on camera.

This is useful when you must confirm that the person in a meeting is the person you expect, for example in a job interview.

How this is different from the Zoom integration overview

Persona has two Zoom integrations:

  • Zoom In-Meeting Verification (this article) runs inside a Zoom meeting. A host starts a verification from the Zoom toolbar while the meeting is in progress.
  • The Zoom marketplace integration runs in Persona Workflows. It creates, gets, and updates Zoom meetings as Workflow steps. Read Zoom integration overview.

You can use one or both. They are configured separately.

Before you start

Make sure that you have these items:

  • A Persona Dashboard user for each host. Each person who runs verifications must sign in to the Persona Dashboard with a role that can create Inquiries. Persona uses this sign-in to confirm the permission and to record which host started each verification. You can use roles to limit what hosts can see. Read Roles & permissions overview.
  • An Inquiry template for these verifications. The integration uses one Inquiry template for all verifications in your organization. Any Inquiry template can work. Read Configuring your Inquiry Template.
  • A Zoom user for each host. The host must be the host of the meeting to run a verification.

Why each host installs the app

Persona Verification is a user-managed Zoom app. Zoom lets an app run inside a meeting only if each user installs it. Thus each host must install the app in their own Zoom account, also when all hosts are in the same Zoom account or company. An admin cannot install it one time for all users.

Set up the integration for your organization

A Persona admin does this one time for your organization. The admin connects the Zoom app to your Persona organization, selects the environment, and selects the Inquiry template.

  1. Sign in to the Persona Dashboard with the Persona organization that you want to connect. The app connects to the organization of the Persona user who is signed in. You do not select the organization in a later step.

  2. Open the Persona Verification listing in the Zoom App Marketplace. Click Add, then authorize the app in Zoom.

  3. Continue to the Persona consent screen. Approve the request to connect the app to your Persona organization.

  4. Select the environment that the app will use. Usually, this is your production environment. All verifications that hosts start from Zoom are created in this environment.

When you select the environment, the app registers a webhook in that environment. The webhook sends verification results back to the panel in Zoom. You do not create this webhook yourself.

  5. On the setup complete page, select the Inquiry template that the app will use.

If the app cannot register the webhook, setup does not stop. A page shows the delivery URL and the events to subscribe to. Create the webhook manually in the Persona Dashboard under Developer > Webhooks, enable it, and paste its signing secret on that page. To show the attendee’s selfie in the panel, the webhook must include the verifications relationship for inquiry events.

To change the Inquiry template later, use the template link from the setup complete page. If no template is selected, a connected host sees Choose template in the panel and can select one from there.

Set up the app for each host

Each host does this one time. The organization setup must be complete first.

  1. Install the Persona Verification app from the Zoom App Marketplace listing in your own Zoom account.
  2. Start a Zoom meeting as the host.
  3. In the meeting toolbar, click Apps, then open Persona Verification. The side panel opens.
  4. The panel shows Persona Account Not Connected. Click Connect. A browser window opens.
  5. Sign in to the Persona Dashboard if Persona asks you to. Then authorize the connection.
  6. Go back to the meeting. The panel shows the Persona organization that you are connected to.

To disconnect, or to connect to a different Persona organization, click Log out in the panel. Then click Connect again.

Verify an attendee in a meeting

  1. Start or join the meeting as the host.
  2. In the meeting toolbar, click Apps, then open Persona Verification.
  3. In Reference ID, enter an identifier for the attendee. Usually, this is the email address of the attendee or a candidate ID from your applicant tracking system. Persona uses the Reference ID to find or create the Account for that person, so repeat verifications for the same person stay together.
  4. Click Start verification. The panel creates an Inquiry from your Inquiry template. It shows a one-time verification link and an Open in Persona link to the Inquiry in the Persona Dashboard.
  5. Send the verification link to the attendee in the Zoom chat. You can also send it by email or text message. The one-time link can be used one time only, and it expires after the time set in your Inquiry template.
  6. The attendee opens the link and completes the verification on their own device. The attendee does not need to install an app or create an account.
  7. Monitor the status in the panel. It changes from Pending to Review, Verified, or Failed, usually within seconds.
  8. When the attendee completes the selfie step, examine the selfie in the panel. Compare it with the person on camera.

If the verification does not complete, click Start a new verification to try again in the same meeting.

Recommendations

  • Use a selfie-only Inquiry template to verify again. If the attendee already completed a government ID and selfie verification earlier, for example when they applied, a selfie-only template is fast for a live meeting.
  • Send the attendee to a mobile device. Use native mobile app verification on the Inquiry template. The attendee then completes the verification on their phone. This avoids problems with virtual cameras on a computer, and usually gives better image capture and stronger device signals.
  • Ask the attendee to turn off filters. Virtual backgrounds, video filters, and virtual camera software can interfere with the selfie step.
  • Tell attendees before the meeting. Let attendees know that you use Persona to verify identity. Also make an internal procedure for what to do when an attendee cannot complete the verification.

Limitations

  • The app verifies one attendee at a time. It is made for one-on-one meetings.
  • Your organization uses one Inquiry template at a time for all verifications from Zoom.
  • Only the meeting host can run a verification.
